Need some help on a catering issue. We received a call and someone asked us to "cater" an event at their business for 75-100 people, but they just want us to sell our BBQ and want to know how much we would charge to just be there.

We would be the only "food truck" there but they can't promise any certain amount of sales. Also the event is approx 65 miles away. Now they did say we could operate with a base menu, now everything we provide i.e. pulled pork and a couple of sides.

Has anyone dealt with this situation? Guidance would be greatly appreciated.

I have done 'similar' always stating a minimum in sales. The lowest I have gone is $450.00 but that was only 5 miles from my base. Our policy is the minimum upon booking, balance due upon completion of feed.
We keep track of every 'sale' and hand the bill to the customer when finished, offer to accept credit card on the spot, and allow tipping Wink Very Happy

Sounds like they want you to "vend" the event rather than "cater".

I would at a minimum require a deposit from the company covering time & travel both ways. At least then you have covered some of your cost. If you do well you can always refund the deposit.

Mr. Tony am I reading you right, if you go over the $450.00 minimum then no bill is due from the event holder?

Tony and Toon, thank y'all for the information. Tony, I echo Toon's question regarding providing sales receipt to Customer and refunding or not charging any "show up" fee.

We take the $$$ down, keep it - charge every cent OVER the $$$ they put down or 'guaranteed' us in sales.
i.e. we get the $450.00 in advance...Keep track of each order [ running Talley] ....Total orders of $800.00, customer pays the $350 balance before we leave venue.
If only $200.00 in 'orders' we keep the entire $450 they guaranteed us in sales and paid in advance.
